Technology decision checklist

Use these questions before buying, building or accepting a donated technology product. A ‘no’ does not always stop the decision, but it identifies work and risk that must be addressed.

Need and user

Can you name the work that must improve, the people who do it, the people affected and the current workaround?

Ownership

Is there a named person accountable for the process, the system and the decision after implementation?

Cost and capacity

Calculate setup, migration, licence, device, connectivity, training, support, integration, renewal and exit costs across at least three years.

Data and safety

Identify what data is collected, why, who can access it, where it is stored, how long it is kept, how it is exported and what harm could follow misuse.

Fit and accessibility

Test with actual connectivity, devices, languages, assistive needs and work conditions. A successful demonstration on the supplier’s setup is not sufficient.

Exit and evidence

Confirm export formats, termination terms, archive needs, replacement process and how adoption and operating value will be measured after launch.
